MIS Mainstay – Marine Data Hub Integration

From May 2025, all external messaging from MIS Mainstay Pro will move to the Marine Data Hub. This change introduces Hub Dialogues – a more efficient, user-friendly way to manage communication.

Below is a comprehensive overview of the Marine Data Hub – what it is, how it works, and the benefits it brings to Mainstay communications.

What is ‘Hub’?

Marine Data Hub (“Hub“) is a new, free-to-use data management, sharing and collaboration platform that significantly improves the management of Marine Data.

The Hub platform seeks to unify the Maritime industry and simplify the process of data sharing across different organisations and stakeholders

Why is Mainstay changing the way
it communicates?

The way Mainstay communicates is changing to improve efficiency, reduce admin and make it easier for ship operators and charterers to manage ongoing conversations.

Unlike the previous Legacy Hub Messages system, which relied on one-time email links, the new Hub Dialogues offer a more flexible and user-friendly experience. Messages stay open, can be accessed multiple times, and remain active for as long as needed – reducing delays, cutting down back-and-forth and streamlining communication.

Legacy Hub Messages

MIS Mainstay previously communicated with ship operators through what are now referred to as “Legacy Hub Messages”.

A one-time access code sent by email, allowed a single reply before expiring, and only the allocated contact could reply. Any follow-up required a new code, adding extra admin and delays for both ship operators and vetting teams.

This process created extra admin and delays, increasing the workload for both ship operators and vetting teams.

Limitations of this workflow included:

  • Only the assigned user could complete the data request

  • One-time access prevented follow-up edits or updates

  • Ship operator had no on-going access to the message thread

New Hub Dialogues 

Hub Messages are now called “Hub Dialogues” to reflect improved collaboration.

Unregistered Ship Operators can still respond via email link, which remains active for as long as they’re included in an open Dialogue.

Registering as a Hub Member unlocks full account access, including a complete history of past Dialogues.

Multi-contact Responses

Reports can be edited and completed by any Participant in the Dialogue, cutting down delays, helping to speed up response times.

On-going Dialogues

Dialogues can be reopened at any point, reducing back-and-forth by keeping conversations open and accessible.

Marine Data Hub – Seamless Data Sharing

A Hub ‘Data Share’ facilitates seamless data sharing between two Hub participants. It reduces the need to request or grant permission on a case-by-case basis, while ensuring that the data owner remains fully in control of their data at all times.

The example below demonstrates a typical Hub Data Share, where a Ship Operator securely shares reports and documents with two separate Charterers – all from a single, centralised location.

A blue ship operator shares data with a green data sharing hub, accessing shared data without requesting an issue token, and potentially withdrawing data.

Complete Data Ownership

Hub facilitates sharing, but complete ownership and control always remain with the data provider:

Data owners retain full control over their data at all times.

Controlled Data Sharing

No data is shared without the owner’s explicit action or approval.

Flexible Access Management

Access can be granted, limited or revoked by the data owner at any point.

Owner-Approved Use Only

Data is never altered, moved or accessed without the owner’s consent.

Safety and Security Considerations

Marine Data Hub adheres to current best practices in data security, combining industry-recognised standards with advanced threat protection:

ISO 27001 certified for information security management

Hosted on Microsoft Azure with strong cyber threat protection

Regular external penetration testing

All data encrypted in transit and at rest

Accessing Hub

Hub participants can respond to Hub Dialogues directly via a secure email link without registering.

However, registering for free Hub Membership offers full access to the Marine Data Hub – including the ability to view complete message history, start Dialogues, keep Dialogues open as needed and use advanced tools like secure data sharing, customised reporting and a central vessel data repository, helping to reduce admin, streamline processes and support smoother collaboration with charterers.
